Essential To-Do's

You've read the Urban Programs Checklist, you've scanned the Urban Programs Staff website, but you just need a list of the most essential steps in leading a program. Here you go:

  1. Register or update all of your Dips, Plunges, Short Programs and Summer Programs at up.intervarsity.org/programs/register-your-program
  2. Review the Getting Started page. 
  3. Be sure that any student working with children or vulnerable adults completes a background check.
  4. Review the policy on Sexual Misconduct.
  5. Review the policy on Stipends and Fundraising. Please note the I-9 paperwork requirement if your student(s) are being paid a stipend or are receiving a check from their fundraising. If this requirement is not met, your student(s) will not be paid. We cannot make any exceptions to this employment law.
  6. Use the Non-Donation Deposit Form when submitting student application/registration fees for your urban programs. Do not hold on to checks for more than a week.
  7. Make sure to use the Urban Program Expense and Advance Report to track all of your expenses (except expenses paid by Pcard or check request), whether you're using advance money or going to be reimbursed.
  8. When your program is finished, please report your program with the online reporting form. Please record the total numbers of students as well as their gender and ethnicity. Also, please try to get an accurate count of the number of children or vulnerable adults you actually worked with and fill it out on the online form.
